Travel
- In these days of internet reservations etc it is normally an advantage (for all parties) to find a good connection and price yourself, using one of the many possibilities for doing so (see the submenu). Alternatively, you may ask the group secretary to arrange tickets.
- Once you have found a good connection and price, ask the secretary if she can get a better price through ViaTravel. They have special deals with SAS, Sterling, BA, KLM, Finnair, IcelandAir, and Brussels Airlines. If you prefer to talk to ViaTravel yourself you can get the contact details from the secretary (you need a telephone number, our customer number, and a requisition number). Be aware that ViaTravel charges 90-500 DKK per ticket for their services!
- If you prefer to order and pay for the ticket directly on the net, then save a receipt for the payment and hand it in with the travel reimbursement form.
- If you are (really) short of money you may get an "advance payment", by filling out the appropriate form, to request an advance transfer to your bank account. But in these days, where the interest rate on your bank account is typically between zero and one percent, you should ask yourself if it is worth the trouble? If you do get an advance, remember that this is not, in any way, the same as reimbursement (see the next item), and it is still necessary (even more so!) to quickly fill out the appropriate forms for reimbursement, after the trip.
- After the trip, you must, within a week or so, fill out and submit the form for travel reimbursement to the office. Keep and attach all appropriate receipts, or printouts from you bank account if you used internet payments. Also; keep all boarding passes, and the last slip of the ticket (if you ever got one); submit one of these with the form as "proof of travel". Use the level of reimbursement agreed upon before the travel; travels and the level of reimbursement should always be cleared with the group leader before making reservations.
